How to use it

  1. 1

    Enter the room

How many people attend and how long it runs.

  2. 2

    Set the cost

Average pay per hour, or annual salary and it works out the hourly figure.

  3. 3

    Say how often

Once, every workday, weekly, every two weeks, or monthly.

  4. 4

    Share the number

Copy the line or a link to your result to put in the invite.

How it's calculated

Cost per meeting is people × hourly cost × hours. The yearly figure multiplies that by how often it repeats: 250 for every workday, 52 for weekly, 26 for every two weeks, 12 for monthly.

If you only know salaries, switch to annual pay. The calculator divides by 2,000 working hours to get an hourly figure, before benefits and overhead, so the real cost is higher.

MeetingEach timeOver a year
6 people, 45 min, $60/h, weekly$270$14,040
10 people, 30 min, $60/h, every workday$300$75,000
4 people, 60 min, $60/h, monthly$240$2,880

What to do with the number

  • Put it in the invite for recurring meetings that have drifted.
  • Cut the attendee list to the people who decide or know.
  • Trim 10 minutes and read the saving shown under the result.
  • Replace status updates with a written post and keep the meeting for decisions.

Frequently asked questions

How do you calculate the cost of a meeting?

Multiply the number of attendees by their average hourly cost and by the length in hours. For a recurring meeting, multiply again by how many times it happens in a year.

Which hourly rate should I use?

The average for the people in the room. If you don't know, use annual salary and the calculator converts it. Adding 20 to 30 percent for benefits and overhead is a common rule of thumb.

Does it save what I type?

No. Everything runs in your browser. The link you copy contains your numbers, so only share it if you're happy to.

Does a recurring meeting cost the same each time?

The calculator assumes so. Real cost varies with attendance, so treat the yearly number as an estimate.
